The IT Asset Administrator is responsible for administrative duties within the IT procurement and inventory management function, and maintains records and databases containing information regarding licenses, warranties, and service agreements for the organization's hardware and software.
This position is responsible for driving proactive Information Technology Asset Management (ITAM) processes across the life cycle of IT equipment, materials and services from acquisition through retirement. This position implements and maintains the ITAM program and its supporting processes to mitigate compliance risks and identify cost saving opportunities related to IT assets. Key responsibilities include developing and maintaining strategic relationships with colleagues, supervisors, vendors/key suppliers, consultants, auditors, internal clients and others. Additional responsibilities include maintaining the configuration management database (CMDB), overseeing complex licensing agreements and translating them into technical data requirements, as well as working closely with procurement and accounting team members to ensure policies and procedures are followed and purchases are made, recorded and tracked correctly.
This position will require a high level of organization to keep track of numerous, simultaneous projects, frequent training to keep up with change vendor landscapes and licensing programs, and a commitment to continual learning and development. The role is one where inefficient or ineffective processes and systems must be identified and joined with respectful communications and suggestions for constructive improvement.

Essential duties and responsibilities
Develop, document, implement and maintain the processes and procedures required for an ITIL-based IT Asset Management (ITAM) program based on industry best practice and incorporate it with organizational practices
Develop and implement a proactive asset management strategy to ensure compliance with the obligations of vendor licensing agreements, ITAM processes and enterprise policies
Work with Platte River’s procurement department and vendors to ensure procurement policies and procedures are followed (MNDA, MSA, SOW, COI, etc.) track and expedite orders through delivery and implementation, schedule delivery and route assets accordingly
Contact vendors to obtain quotes. Work with procurement to remediate supply chain issues; perform competitive bidding exercises for purchases; manage the bidding evaluation process; make recommendations for selected bidders
Work with IT leadership to schedule meetings with vendors for evaluations, update meetings, consulting projects and other engagements as needed. Work with accounting and finance team members to ensure purchases are reflected in the correct periods and GL accounts
Manage hardware and software contracts including from initiation to termination
Maintain records of all contracts and recurring costs and verify monthly against actuals
Manage requests for IT assets in Service Now
Work with IT staff throughout the asset life cycle to ensure proper inventory, licensing, allocation, utilization, compliance and retirement of assets
Managing the hardware and software life cycle in the configuration management database (CMDB) in and work with IT staff to ensure accuracy of asset counts
Generate and distribute various reports, including compliance reports on current assets and CIs and their status; also perform trend analyses
Work toward being the subject matter expert for Microsoft licensing and other complex licensing models to ensure Platte River is using the appropriate licensing model and is compliant with vendor requirements
Work with internal auditing on software license audits and provide audit support as required
Provide information and support for the development of IT budgets and forecasts
Communicate with internal and external stakeholders in an open and timely manner, providing all needed information and support
Work safely and demonstrate safe work practices
Maintain regular and reliable attendance
Operate Platte River motor vehicles to perform duties at various sites
Perform other duties as assigned

Associates degree from an accredited college or university in Business, Finance, Accounting, Information systems or related field orequivalent combination of education and experience
Minimum of two (2) years of general asset management, configuration management or related function, orequivalent experience in IT, purchasing, contracting / other related field of work
Current valid driver’s license and ability to remain insurable under Platte River’s vehicle liability policy
Experience with ITIL-based IT service management and IT asset management concepts, processes and procedures
Experience with complex on-premise and cloud-based software licensing models
Experience with IT asset management in Service Now or similar system
Experience with mobile device management systems and carrier contracts
Certification in IT service management / asset management training
Certification in Microsoft licensing or other technical licensing
While performing the duties of this job, the employee is required to frequently sit, stand, and walk. The employee must frequently lift up to 10 pounds and occasionally lift and/or move up to 30 pounds. Bi-weekly salary range for this position: $ 2,277 - 3,131 (DOQ)
